Plan Bot Privacy Policy:

This Privacy Policy (the “Policy”) explains how EAPO LIB POW Inc. (the “Company”, “Plan Bot”, “we”, “us”, or “our”) collects, uses, stores, discloses, and protects personal and business information obtained through the Plan BotAI‑powered exit planning application, related mobile applications, and the website located at www.planbot.ca(collectively, the “Platform”).

This Policy forms an integral part of the Plan Bot Terms and Conditions of Use. By accessing or using the Platform, you consent to the practices described herein.

1.0 SCOPE AND APPLICABILITY

This Privacy Policy applies to:

  • Plan Bot Users (PBUs);
  • Affiliate Members (AMs);
  • Affiliation Entities (AEs);
  • Website visitors and prospective users.

The Platform is operated from Canada and is governed primarily by Canadian privacy laws, including the Personal Information Protection and Electronic Documents Act (PIPEDA) and applicable provincial privacy legislation.

 

2.0 INFORMATION WE COLLECT

2.1 Personal Information

We may collect the following categories of personal information:

  • Name, email address, phone number;
  • Business name, role, and professional affiliation;
  • Billing and payment-related information (processed via third‑party providers);
  • Account credentials and authentication data;
  • Referral and affiliate identification codes (AEAC, AMRAC, etc.).

2.2 Business and Strategic Information

Plan Bot is designed to collect business‑level strategic data, which may include:

  • Ownership and organizational structure;
  • Financial, operational, and governance inputs;
  • Exit objectives, preferences, and timelines;
  • Continuity planning and succession assumptions.

This information may be commercially sensitive but is treated with the same level of confidentiality and protection as personal information.

2.3 Technical and Usage Information

We automatically collect certain technical data, including:

  • IP address and device identifiers;
  • Browser type, operating system, and access timestamps;
  • Usage patterns, feature interactions, and performance metrics.

3.0 HOW WE USE INFORMATION

We use collected information to:

  • Provide, operate, and maintain the Platform;
  • Generate AI‑assisted outputs and reports based on user inputs;
  • Authenticate users and manage accounts;
  • Process subscriptions, payments, and affiliate commissions;
  • Improve functionality, performance, and user experience;
  • Communicate updates, notices, and service‑related messages;
  • Comply with legal and regulatory obligations.

We do not sell personal information.

 

4.0 ARTIFICIAL INTELLIGENCE AND AUTOMATED PROCESSING

Plan Bot uses artificial intelligence and automated processing tools to:

  • Analyze user‑provided inputs;
  • Generate conceptual exit planning outputs and reports;
  • Identify patterns, gaps, and readiness indicators.

AI processing is non‑deterministic and non‑advisory in nature. Outputs are informational only and are not professional advice.

User data is not used to train public AI models. Any internal model refinement is performed on anonymized or aggregated data where possible.

5.0 DATA STORAGE AND SECURITY

5.1 Your Private Encrypted Server Environment

Plan Bot is designed to operate on a private server environment with encrypted storage capabilities. We use commercially reasonable safeguards intended to protect the confidentiality and integrity of your information.

5.2 Security Measures

We implement reasonable administrative, technical, and organizational safeguards appropriate to the sensitivity of the information processed, which may include:

  • Encryption in transit and at rest;
  • Authentication controls and role-based access restrictions;
  • Segregation of user data;
  • Monitoring and logging to detect unauthorized access;
  • Secure development and maintenance practices.

5.3 No Guarantee of Absolute Security

Despite these safeguards, no method of transmission over the Internet and no method of electronic storage is 100% secure. Accordingly:

  • We do not warrant or guarantee that information will be free from unauthorized access, disclosure, alteration, destruction, loss, or breach;
  • You acknowledge and accept the inherent risks associated with using online services.

5.4 User Responsibilities

You agree to take reasonable steps to protect your information, including:

  • Using strong passwords and keeping credentials confidential;
  • Maintaining secure devices and up-to-date software;
  • Promptly notifying us if you suspect unauthorized access to your account.

5.5 Security Incidents

If we become aware of a security incident involving personal information under our control, we will take reasonable steps to investigate, mitigate, and provide notifications where required by applicable law.

6.0 DATA SHARING AND DISCLOSURE

  • To process payments and commissions via third‑party platforms (e.g., Stripe);

We do not disclose user‑entered business content to Affiliate Members or Affiliation Entities unless expressly authorized by the user.

7.0 AFFILIATES AND REFERRALS

Affiliate Members and Affiliation Entities may receive aggregated referral and commission data necessary to administer the PBAP and PBAMP programs.

They do not receive access to:

  • Individual user plans;
  • Confidential business inputs;
  • AI‑generated reports;

unless explicitly authorized by the Plan Bot User.

8.0 DATA RETENTION

We retain personal and business information:

  • For the duration of the active subscription;
  • For up to ten (10) years in accordance with the Plan Bot Subscription (PBS);
  • As required to meet legal, accounting, or regulatory obligations.

Upon expiration or termination, data may be securely archived or deleted in accordance with our retention policies, subject to applicable law.

 

9.0 USER RIGHTS

Subject to applicable law, you may have the right to:

  • Access your personal information;
  • Request correction of inaccurate data;
  • Request deletion of personal data (subject to contractual and legal retention requirements);
  • Withdraw consent where legally permissible.

10.0 INTERNATIONAL DATA TRANSFERS

While Plan Bot is Canada‑based, certain service providers may store or process data in other jurisdictions. In such cases, appropriate contractual safeguards are implemented.

Plan Bot may use cookies or similar technologies to:

  • Maintain session integrity;
  • Improve performance and usability;
  • Analyze platform usage.
